How We Handle Your Information
The Urban Health Exchange is an editorial resource for the people who equip and run city-based care. This policy explains, in plain language, what we collect, why, and how to have it removed.
Privacy Policy
Last updated: June 10, 2026. The Urban Health Exchange ("we," "us," "the Exchange") publishes guides and equipping briefs for community-clinic operators, street-medicine and outreach teams, mobile-health-unit coordinators, urban EMS planners, harm-reduction staff, and public-health buyers. This policy describes the limited information we collect when you read our material, subscribe to updates, or contact us through the site. We wrote it the same way we write everything else here: plainly, and for working professionals who do not have time to decode legalese.
The short version
We are an editorial publication, not a vendor or a data broker. We collect only what we need to send you the updates you ask for, to respond when you reach out, and to understand which guides are useful. We do not sell your information, we do not share practitioner contact details with commercial third parties, and you can ask us to delete what we hold at any time by emailing [email protected].
What the intake and contact forms collect
When you use a contact or intake form on the site, you choose what to submit. Typically that is a name, a work email address, an organization or program name, and the message or question you send us. Where a form asks about your role or setting (for example, "mobile unit," "fixed clinic," or "outreach team"), that field is optional and exists only so we can point you to the most relevant guides. We use this information solely to reply to you and, if you opted in, to follow up with related material. We do not require you to create an account to read anything on the Exchange.
What the newsletter collects
If you subscribe to our updates, we store the email address you provide and the date you subscribed, along with a record of which topic areas you indicated interest in (for example, small-footprint clinic furniture, street-medicine kits, mobile-unit outfitting, air-quality and filtration, harm-reduction supplies, or EMS response gear). We use this to send periodic editorial updates and to avoid sending you material outside your stated interests. Every email we send includes a one-click unsubscribe link. Unsubscribing stops delivery immediately and removes you from the active sending list; you can also email us to be removed entirely, including from any archived list.
How subscriptions are processed
Newsletter delivery is handled through a standard email-marketing platform that stores your address and engagement events (such as whether a message was opened or a link clicked) so that we can measure whether our guides are reaching the right operators and being read. This platform processes data on our behalf under a data-processing agreement and is not permitted to use your information for its own marketing. We do not enrich, append, or cross-reference your subscription record against outside data sources, and we do not build profiles for resale.
Analytics and cookies
We use privacy-conscious, aggregate analytics to understand which pages are visited, how readers arrive, and which guides hold attention — the same way any editor decides what to write next. Where our analytics use cookies or similar identifiers, they are limited to measuring traffic patterns in aggregate; we do not use advertising trackers, and we do not run third-party ad networks that follow you across the web. Strictly necessary cookies may be set to keep the site functioning (for example, remembering that you dismissed a notice). You can refuse or delete cookies through your browser settings; the site will continue to work, though some conveniences may reset between visits. Where required by law, we will ask for your consent before setting non-essential cookies.
How we use the information
We use the information described above to: respond to your messages and intake requests; deliver the updates you subscribed to; understand which editorial topics serve our audience; protect the site against abuse and spam; and meet our legal obligations. We do not use your contact details for automated decision-making that produces legal or similarly significant effects.
What we do not do
We do not sell, rent, or trade practitioner contact data. We do not share your information with commercial suppliers, advertisers, or lead-aggregation services. We are in an authority-building, editorial phase and do not funnel reader data to any outside commercial destination. The only parties that ever touch your data are the service providers — such as our email and analytics processors — that we rely on to operate the site, and they act only on our instructions.
How long we keep it
We keep newsletter subscriptions until you unsubscribe or ask for removal. We keep contact and intake messages only as long as needed to handle your request and for a reasonable period afterward in case you follow up, then we delete or anonymize them. Aggregate analytics are retained in summarized form and are not tied back to you as an individual.
How to request access or removal
You can ask us at any time to tell you what we hold about you, to correct it, or to delete it. To do so, email [email protected] from the address on file (or describe your request clearly enough for us to locate the record). We will confirm and act on removal requests promptly, typically within thirty days. To stop newsletter emails immediately, use the unsubscribe link in any message — you do not need to email us first.
Security
We take reasonable, proportionate measures to protect the limited information we hold, including access controls and reputable processors. No method of transmission or storage is perfectly secure, so we keep the data we collect deliberately minimal — the less we hold, the less there is to protect.
Children
The Exchange is a professional resource intended for adults working in healthcare delivery and public health. It is not directed at children, and we do not knowingly collect information from anyone under sixteen.
Changes to this policy
If we update how we handle information, we will revise this page and change the "last updated" date above. Material changes that affect how we use your data will be noted prominently. Continued use of the site after an update means you accept the revised policy.
